The Constituent Engagement Specialist at the AAMC is a critical team member within the unit (CEU). The Specialist supports the AAMC's successful relationships with constituents in the Group on Women in Medicine and Science focused on faculty members and administrators with a sustained interest in the successful participation and inclusion of women within academic medicine by addressing gender equity, recruitment and retention, recognition, and career advancement; the Organization of Resident Representatives, which provides a venue for resident physicians to have input into the development of Association policy, is designed as a leadership opportunity for residents interested in academic medicine, and integrates the resident voice among leadership of the AAMC; and the Organization of Student Representatives which facilitates the expression of students' ideas and views, incorporate students into the governance of the AAMC, fosters the exchange of ideas among students and other concerned groups, and facilitates student action on health care issues.The Specialist works closely with Directors of GWIMS, ORR, and OSR to ensure constituents receive high-quality professional development opportunities and optimized leadership experiences. Integral to the day to day operations of the engagement specialist is a willingness to develop innovative approaches to serve members of all groups and support the collective efforts of CEU colleagues and mission cluster partners.

How will you make an impact?


This is a relationship-centered position that requires competency in working collaboratively with staff from across the AAMC and member constituencies and affinity groups.

Key relationships include:
  • AAMC Leadership, Office of the President, and Strategic Action Plan leads.

  • Professional development groups, and group leadership.

  • CEU Team Leaders, Directors, Managers, Specialists, and Administrative Specialists who collectively operate the AAMC's 20+ professional development groups and organizations. These individuals work within teams to ensure a top tier experience for constituents across the AAMC's professional development groups.

  • Mission cluster partner chiefs, senior directors, and directors who are content and subject-matter guides in the areas relevant to the affinity groups that the specialist supports;

  • Units across the Association that provide key services to support constituent relationship management - Member Engagement and Member Services, Learning, Leadership and Evaluation, Meetings Team, AAMC Learning Center, Communications, Marketing, Creative Services, and Facilities that reinforce a high-quality experience for constituents.

Communications Management
  • Communicates ORR and OSR administrative board changes to the Office of the President.

  • Oversees and responds to email inquiries in group non-human email boxes.

  • Coordinates the annual process of updating group membership for GWIMS, ORR and OSR.

  • Prepares and distributes all electronic newsletter and listserv communications for GWIMS, ORR and OSR.

  • Ensures that GWIMS, ORR, and OSR member directories are up to date.

Group Management and Operations
  • Collaborates with director and colleagues from meetings, facilities, and other units, to ensure high-quality, well-executed onsite experiences for in-person and virtual administrative board meetings.

  • Contributes to the preparation of meeting materials and documentation, including agendas, slides, reference materials, administrative board committee notes and minutes.

  • Coordinates and manages logistics for quarterly group calls with the President & CEO and/or members of AAMC leadership.

  • Coordinates notification processes and other award related logistics with OPRES.

  • Creates and maintains a schedule of Board of Directors related activities.

  • Ensures that members are properly designated to organizations and groups and that member records are accurate and up to date in the association management system database.

  • Maintains member communications platforms (e.g., Listserves, Webpages, etc.)

  • Leads the preparation and delivery of member onboarding resources for GWIMS, ORR, and OSR.

  • Coordinates nominating committees/nominating process and elections for administrative boards and steering committees and/or other positions identified within affinity groups.

  • Assists with the coordination and management of award nomination and review processes for the GWIMS Leadership Award, ORR Community Service

  • Recognition Award, and OSR Humanism Award

  • Develops, executes, and oversees the calls for poster nominations and session proposals.

  • Ensures relevant content is up to date on all group web sites.

  • Process member travel reimbursements for GWIMS, ORR, and OSR.

  • Assists with monitoring all group budgets.

Professional Development Meetings and Learning Experiences
  • In collaboration with Directors and planning committees, plans and implements annual professional development conferences, including resources; speaker research and support; session and workshop logistics; CME support; and interactions with meeting planners.

  • Collaborates with Directors, steering committees and administrative board members to plan and implements professional group meetings and activities related to the AAMC annual meeting.

  • Provides on-site relationship management and logistics support during professional development meetings to ensure high-quality constituent experiences. Collaborates closely with meetings team to provide logistics support for speakers and guests.

  • Works with Directors and marketing unit to develop tailored marketing plan for PDC; support marketing efforts.

  • Oversees logistics for and executes webinars and other virtual events.

What you'll bring to the role

Experience/Education required

  • Requires a Bachelor's degree, plus a minimum of 3-5 years post-graduate experience, including experience in a complex and fast-paced organization and in handling multiple priorities.

  • Candidates must also have previous experience with demonstrated success in association member relations, volunteer management, customer relations, and marketing and sales, and experience directly responding to a wide range of constituent/customer inquiries and requests.

Knowledge and skills required

  • Ability to work within team-based organization, contribute across organizational units and reporting relationships, and focus on people.

  • Expertise in project management and execution

  • Analytical and strategic thinker, with proven ability to see the big picture, set priorities, and deliver results.

  • Strong knowledge of member data management systems and/or customer relationship management systems.

  • Advanced skills in meeting planning, both in person and virtual meeting offerings.

  • Excellent time management; ability to manage multiple priorities and projects simultaneously.

  • Strong operational competencies, ability to establish goals, set targets, measure results, and achieve operational improvements.

Functional Expertise required
  • Understanding of customer relations, membership relations, and volunteer management.

  • Knowledge of association customer relationship management systems and databases.

  • Knowledge of and/or ability to master modern digital communications platforms, including Web, social media, and CRM communication systems.

  • Knowledge of academic medical center or the healthcare environments.

  • Experience working with individuals affiliated with academic medicine, medical education, health care, or higher education desirable.

Remote Work Eligibility

This position is eligible for remote work in the contiguous US

Compensation Grade Range and Mid-Point

Grade Range:$58,900.00 - $103,500.00/ Grade Mid-Point:$81,200.00

The above annual compensation range and mid-point are general guidelines. For candidates who meet the criteria, the AAMC's compensation philosophy is to target the midpoint of the salary range. Multiple factors are taken into consideration to arrive at the final hourly rate/annual salary to be offered to the selected candidate. Factors include, but are not limited to, the scope and responsibilities of the role, the selected candidate's work experience, education and training, as well as internal equity, market, and business considerations.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
